We rebuilt a Denver physio clinic's website to show how more new patients could book an assessment without picking up the phone.

New patients who found the old site could only book by phoning during opening hours. Here is the journey a patient takes on the old site, what we changed and why.

THE PATIENT'S JOURNEY ON THE OLD SITE

Follow one patient, Daniel, through the old site after he hurts his knee.

Daniel is an illustrative patient, but every step below is something the old site does today. Each one is a point where a new patient can slip away.

  1. STEP 1

    He searches for knee physio in Denver on a Sunday evening and lands on the homepage.

    WHERE IT LEAKS

    The homepage says “Welcome to our clinic”. Nothing on it mentions knees or sports injuries, so he is not sure he is in the right place.

  2. STEP 2

    He looks for a way to book.

    WHERE IT LEAKS

    The only option is to phone, Monday to Friday, 8 AM to 5 PM. It is Sunday, so he cannot book.

  3. STEP 3

    He means to call on Monday.

    Monday gets busy. By lunchtime he has booked with a clinic that let him pick a time online.

  4. STEP 4

    Or he does call, and books an assessment for next week.

    No reminder is sent, so the appointment slips his mind and the slot sits empty.

    He comes in, and is told he needs a few more sessions.

    Nobody follows up after the first visit, so when the knee feels a little better he stops coming.

WHAT WE CHANGED, AND WHY

We changed six things, and each one closes a step where Daniel could slip away.

None of it needs a bigger marketing budget. It changes what the site says, what it asks and what happens after someone books.

    Name the problem on the first screen

    BEFORE

    Welcome to our clinic.

    AFTER

    Back, knee or sports injury? Book a physio assessment this week.

    WHY

    Patients arrive with a specific pain. The first line should name it, so they know straight away that they are in the right place.

  2. CHANGE 2 OF 6 · QUALIFYING

    Ask a few questions before the booking

    BEFORE

    A phone number and nothing else.

    AFTER

    Where does it hurt? How long has it hurt? Are you paying yourself or through insurance?

    WHY

    The answers tell the clinic which kind of appointment to offer and how long to book, before the patient walks in.

  3. CHANGE 3 OF 6 · BOOKING

    Let patients book online, at any hour

    BEFORE

    Call us to book, Monday to Friday, 8 AM to 5 PM.

    AFTER

    Pick one of the soonest times this week, such as Tuesday at 8:30 AM.

    WHY

    Many people look for help in the evening or at the weekend, when nobody answers the phone. Online booking lets them book while they are thinking about it.

  4. CHANGE 4 OF 6 · REMINDERS

    Remind them before the appointment

    No reminder.

    AFTER

    A text the day before and another an hour before, with an easy way to move the time.

    WHY

    A patient who can move an appointment in one tap is less likely to miss it.

  5. CHANGE 5 OF 6 · FOLLOW-UP

    Follow up after the first visit

    BEFORE

    Nothing after the first appointment.

    AFTER

    A short note with the home exercises, and a link to book the next session.

    WHY

    Treatment works over several sessions. A simple note helps patients finish what they started.

  6. CHANGE 6 OF 6 · SMART PAGES

    Write a page for each condition

    BEFORE

    One services page for everything.

    AFTER

    Knee pain, back pain, sports injuries, and so on, each with its own page.

    WHY

    People search for what hurts. A page written for each answers the search directly and leads to the same booking step.

HOW WE WOULD KNOW IT WORKED

We have not run this on their site, because they are not a client. Here is what we would measure if we did.

We would watch three numbers: how many visitors finish the questions, how many of them book an assessment, and how many new patients come back for a second session. On a client's site, these are the numbers we report every month.
